Understand what portal users can do

What this does

The portal is the outside view of your database. Give a customer or a supplier portal access and they can follow their own documents without you emailing anything.

The user portal is a module available by default in WindoorERP. Users, both customers and vendors, can be granted access to the portal by businesses in order to view certain documents or information within a WindoorERP database. For example, some common use cases for providing portal access include allowing customers and vendors to:

  • Follow, view, and pay orders
  • Follow, download, or pay invoices, including partial payments and down payments
  • Manage payment methods
  • Manage subscriptions
  • Add, remove, or modify their addresses
  • Configure connection parameters between WindoorERP and 3rd-party services

Note

Portal users only have read/view access, and will not be able to edit any documents in the database.

What a portal user can do

  • Follow, view and pay their orders.
  • Follow, download or pay their invoices, including partial payments and down payments.
  • Manage their saved payment methods.
  • Manage their subscriptions.
  • Add, change or remove their own addresses.
  • Set up the connection parameters between WindoorERP and a third-party service they use.

What a portal user cannot do

  • Edit any document in the database — portal access is read and pay, never write.
  • See anything belonging to another customer.
  • Reach the back office, reports or settings.

Common mistakes

  • Creating an internal user for a customer. That consumes a seat on your WindoorERP plan and hands them the back office; grant portal access instead.
  • Assuming portal users inherit the usual groups — their rights are pre-set through record rules and restricted menus, and the Access Rights tab does not apply to them.
